This Privacy Policy explains how Pellaworks, LLC ("Pellaworks," "EkkoBoard," "we," or "our") collects, uses, and handles information when you use the EkkoBoard mobile application and related services (collectively, the "Services"). By using the Services, you agree to the practices described in this Privacy Policy.

If you do not agree with this policy, please do not use the Services.

1. Introduction

EkkoBoard is a speech-to-text keyboard and dictation tool that provides fast, accurate transcription by processing audio through cloud-based models. We designed EkkoBoard with a strong emphasis on user privacy and data minimization. We do not require a login and we do not collect names, emails, phone numbers, or any identifying account information.

This policy describes the limited information we collect, how we process dictation data, your privacy options (including Privacy Mode), and how we protect your information.

2. Information We Collect

EkkoBoard is designed to collect as little personal information as possible while still enabling accurate, low-latency transcription.

A. Personal Data

We do not collect names, email addresses, phone numbers, or any account-related identifiers. We also do not store device identifiers such as the Android Advertising ID, hardware identifiers, or similar persistent IDs.

However, when you dictate using EkkoBoard, your audio Input may include personal information if you choose to speak it. For example, if you say your name aloud, that becomes part of the audio you send to our transcription servers. This is considered Customer Content and is processed strictly to provide the transcription service.

B. Customer Content (Audio and Transcripts)

When you dictate with EkkoBoard, we temporarily process:

• Audio Inputs created when you speak
• The corresponding transcribed text ("Transcripts")
• Any corrections you make to the generated text (if applicable)

Important:

• We never store audio on our servers, regardless of settings.
• Transcript retention is controlled by your settings (see Section 5: Privacy Mode).
• We do not analyze, mine, or categorize your text for advertising.
• We do not collect, store, or access text from your device's screen or apps.

C. Usage Data

To operate and improve the Services, we may collect limited non-identifying technical information such as:

• App version
• App performance metrics
• Error logs and crash diagnostics
• Basic, non-persistent IP data for routing requests
• Aggregate usage statistics (e.g., total number of words dictated)

We do not collect device identifiers, advertising IDs, or hardware IDs. We do not collect geolocation data.

D. Payment Information

If you purchase EkkoBoard features through the Google Play Store or Apple App Store, payment information is collected and processed directly by Google or Apple. Pellaworks does not receive or store your payment details. Their privacy policies govern all App Store–related payments.

3. How We Use Your Data

We use the limited data described above for the following purposes:

• Service Operation: To transcribe speech, correct text, provide keyboard functionality, and maintain performance.
• Quality and Reliability: To detect issues such as failed requests, crashes, or service outages.
• Security: To protect the Services against abuse, misuse, and technical threats.
• Compliance: To follow applicable laws, enforce our terms, or respond to lawful requests.
• Improvements: To enhance model routing, speed, and accuracy at a system level. Corrections you make to text may be processed temporarily for accuracy improvement unless Privacy Mode is enabled.
• Support: To troubleshoot issues or provide technical help when you contact us.

We do not sell or share your data for advertising. We do not serve targeted ads based on your dictation or usage. We do not profile users.

4. Third-Party Model Providers

EkkoBoard uses cloud-based speech recognition and language models from providers such as:

• Groq
• OpenAI
• Meta Llama-family models
• Other AI vendors we may integrate in the future

These providers process your audio Inputs and/or text solely to perform transcription and language tasks. We do not currently state that we have zero-retention agreements with all providers, but EkkoBoard is built to minimize data exposure and reduce retention where possible.

5. Privacy Mode

EkkoBoard includes an optional Privacy Mode, available in Settings → Data and Privacy.

When Privacy Mode is enabled:

• Zero data retention for dictation data
• No storage of transcripts
• No storage of corrections
• No logging of dictated text beyond what is strictly required moment-to-moment for the service to function
• Audio is never stored (same as default behavior)

This provides the highest level of privacy for users who want all dictation activity excluded from retention or learning workflows.

When Privacy Mode is disabled:

• We still never store audio.
• Transcripts and corrections may be temporarily processed server-side to improve accuracy, stability, or routing performance.
• No transcripts are stored for personalized user history (we do not have an account system).

6. What EkkoBoard Does Not Do

To make expectations clear, EkkoBoard does not:

• Offer or require account registration
• Collect any PII such as name, email, phone number
• Store device identifiers
• Record or retain audio
• Use screen-reading or context-awareness features
• Sync dictionaries, notes, custom prompts, or history across devices
• Sell or share data for advertising
• Serve targeted ads
• Provide tailored advertising based on dictation or usage patterns
• Access the clipboard except when explicitly triggered by user paste actions

7. Cookies and Tracking Technologies

EkkoBoard does not use cookies within the mobile app.

Our website may use standard analytics tools (e.g., Google Analytics) to understand general site traffic. These analytics do not link to dictation data or Customer Content.

8. Data Retention

• Audio: Never retained.
• Transcripts: Not stored in Privacy Mode. May be temporarily processed for service functionality when Privacy Mode is off.
• Usage Data: Retained only as long as needed for operational, security, and diagnostic purposes.

Once data is no longer needed, it is deleted or anonymized.

9. International Data Transfers

EkkoBoard's infrastructure is located in the United States. If you use the Services from outside the United States, your audio and text will be transmitted to servers within the United States for processing.

10. Security

We use industry-standard encryption (TLS) to protect data in transit. We implement modern security practices, access controls, and monitoring to protect our systems and users.

No method of transmission or storage is completely secure, but we work continuously to strengthen safeguards.

11. Children's Privacy

EkkoBoard does not knowingly collect personal information from children. Because there is no login or account system, child users may use the app without providing identifying details.

If you believe a child has provided personal information through external communication with us (such as customer support), please contact us so we can remove it.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If changes are material, we will update the date above and may notify users within the app or on our website.
